Position Title: Procurement and Equipment Specialist

POSITION SUMMARY
- Maintaining and monitoring equipment files, performing quarterly and annual QC and preventive maintenance for specific equipment, contacting vendors for repairs, troubleshooting on equipment, maintaining supplier qualifications, maintaining critical supplies in BBA warehouse, purchasing supplies, and maintaining accurate purchasing records.
- Working as a team player across departments and consistently demonstrating ownership and accountability for assigned duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Perform quarterly and annual QC and preventative maintenance for BBA equipment following appropriate established procedures.
- Coordinate with department management and vendors for QC and preventative maintenance services provided by vendors.
- Maintain BBA equipment files. Coordinate equipment validation, calibration and repair as appropriate.
- Responsible for oversight and tracking of Collections package inserts.
- Responsible for tracking and maintaining current calibrations for all BBA equipment.
- Oversight of supplier and service provider qualifications.
- Participate in equipment validation.
- Work cooperatively with all departments to ensure equipment is maintained according to manufactures recommendations.
- Responsible for ensuring all efforts are made to acquire goods and services in a timely manner.
- Ensure vendors comply with contract terms.
- Responsible for reviewing Purchase Requisitions to determine appropriate approvals, certifications, and other necessary documents needed prior to the issuance of an order.
- Determines the method of procurement and assigns PO# Requests to the Buyers.
- Monitors requests and contracts assigned to the Buyers and adjusts as required to evenly distribute the workload.
- Keeps abreast of changes such as procedural changes, document updates, new clauses, and required disclosures and standard certifications by firms interested in doing business with BBA and is responsible for keeping the buying staff informed.
- Communicates directly with all levels of BBA personnel in administering purchase orders and contracts.
- Works closely with the accounting staff to resolve problems in the purchase order payment process.
- Exercises excellent time-management skills, evaluates and plans the associated activities of the buying staff in order to avoid expired contracts, and stays within the constraints of BBA’s purchasing schedule as determined by the controller and/or CEO.
- Follow all pertinent SOPs that relate to this position and document required information on appropriate records as needed.
- Exhibit support of BBA values, quality objectives, and customer service standards always.
- Maintain positive image of BBA throughout the community while maintaining overall corporate image.

QUALIFICATION REQUIREMENTS

- Strong interpersonal and communication skills.
- Experience with Microsoft Office applications (Word and Excel). Ability to type and operate a personal computer.
- Ability to work independently, self-motivated, perform tasks of a detailed nature accurately within required timeframes, and adapt to fluctuating workloads.
- Exceptional organizational skills and ability to prioritize work.
- Ability to problem solve at a high level through interpretation of regulatory guidelines, industry standards, BBA standard operating procedures, and quality focused decision making.
- Ability to interface effectively and harmoniously with employees and donors.
- Knowledge of general safety and quality assurance procedures.
- Knowledge of troubleshooting medical device equipment.
- Ability to maintain confidentiality of donors, customers, employees and BBA business information.
EDUCATION
Minimum: H.S. Diploma.
Preferred: Associates or Bachelor’s Degree in relevant field.
EXPERIENCE
- Minimum one year (two to three years preferred) working with medical devices or regulated equipment.
- Previous clinical laboratory, blood banking or work in a regulated environment preferred.
- At least one year experience working in accounting practices and software.
WORK ENVIRONMENT
- Potential hazard due to exposure to blood or other potentially infectious materials.
- The Blood Bank of Alaska follows OSHA Bloodborne Pathogens Standards in the workplace.
- BBA provides vaccination for Hepatitis B if desired and provides for personal protective equipment as needed for the position.
- Will occasionally be required to work long hours and/or irregular schedule.
- May be required to stand and/or walk for long periods of time. Must be able to lift 50 lbs.
